Your pilot playbook

A useful first session

  1. Sign in with your THE PASS email and password. While the pilot is still private, Site Share access is also required at the hosting entrance.
  2. Create a property. Choose restaurant/club or hotel, then empty records or fictional demo.
  3. Open Start Here. Cost one recipe, build a menu, enter an invoice and schedule staff.
  4. Wait until the header confirms Cloud saved. Open the same property on another device and verify your records.
  5. As owner, run Service checks and download a backup copy.
  6. Download a feedback report and share it with your THE PASS contact.

Inviting colleagues

Two steps are required while the site is private: the site owner grants Site Share access, then the property owner creates an email-bound property invitation in Property & Team. Use the colleague’s actual THE PASS account email. Private Relay emails may differ from their business email.

Manager can view and edit all records. Viewer can view all records, including pay rates. Only owners manage access and restore history. Do not invite someone who should not see this information.

If something goes wrong

Save failed: keep the page open, download the current draft, check your connection and retry. Do not assume local drafts have synced.

Conflict: another edit saved first. Download your draft, load the latest cloud version, then review the differences before re-entering changes.

Wrong account or access denied: check the sign-in email and ask the site/property owner to verify both access steps.

Near the record limit: download a backup and contact THE PASS before importing more data. Do not delete operating records just to make space.

Restore: the owner can restore a recovery version in Property & Team, or download a separate backup and use Import JSON backup after reviewing it. Restores replace working records and create a new version.

Before a paid rollout

The pilot does not enroll subscriptions or charge cards. Pricing, commercial terms, customer support arrangements, billing and broader access must be configured before paid enrollment. Trial participation is not a promise of integrations or a production service-level agreement.
